Why Workflows matter

Putting defined roles into an optimal order for workflows makes sense because it enhances efficiency, clarity, and collaboration. Here’s why:


1. Minimises Bottlenecks – When roles follow a logical sequence, work flows smoothly without unnecessary delays caused by dependencies or unclear handovers.


2. Reduces Ambiguity – Clearly ordered roles eliminate confusion about who does what and when, preventing miscommunication and duplicated efforts.


3. Optimises Workload Distribution – Ensuring the right roles are engaged at the right time prevents overloading certain team members while others wait for input.


4. Improves Accountability – A structured workflow with ordered roles clarifies ownership at each stage, making it easier to track progress and responsibilities.


5. Enhances Adaptability – When roles are defined and sequenced properly, teams can quickly identify where adjustments are needed in case of disruptions or changes.


6. Boosts Quality Control – By structuring roles in a logical order, teams can integrate feedback loops and validation points, ensuring higher-quality outputs.

Where to access workflows in teamdecoder:

You can access workflows from the steps icon in the side navigation or #03 in the Toolbox page.

Workflow name

You start a workflow by giving it a name. The first box with the green line is the start point for your new workflow.

Who owns this workflow?

The entire workflow can have an overarching main owner. Pick an existing blue card from the dropdown and then pick on of the role owners' name.

In the dropdown you can search all existing blue cards. Go back to the "dashboard" to create a new item if you cannot find what you need.

Add notes

Ever box has a notes area where you can add important information for the responsible role owners.

1 Workflow = multiple steps

After the box with the green linw follow a series of boxes with blue lines, representing the individual steps forming this workflow:

Give every step a name

Enter the name of the first step on top of the blue line:

Who works in this step?

You can add multiple roles as owners of this step. Open the dropdown to chose from all existing blue lists items. Here you can only add roles, not people!

... inside the notes area:

On the very right side of the workflow you will find the "Add new step" line. Click it to add step #2, #3, and so forth.

Add more workflows

Tp add another line, another workflow, click on "Add a new workflow" at the top of the page:

Workflows in reports

Every team member finds workflows in their report page: In the side navigation, right under the purpose tree.


In the top navigation they can switch between 2 views:

1. "Mine" - shows all workflows where roles are involved that they own

2. "All" - shows all workflows of this team
