Domains serve as an effective method to delineate clear responsibilities within your team. If there's ever ambiguity about who is responsible for managing a budget, issuing key cards, monitoring the info@ email address, or updating a persona, establishing a domain is a practical solution.


Domains can be associated with specific roles. For example, the "Adobe License" domain could be linked to the "Designer" role. Similarly, in product management (which is a role), each product or feature could represent a distinct domain, ensuring clear accountability and streamlined operations.


This is the domains tool, that you see when you click on any domain or add a new domain at the end of the domains list:😊

Name
  • This is the name of this domain
  • You can get help filling out the rest of the form from td's AI role assistant, by clicking on "Create using AI" right under the nam


Purpose
  • The person owning this domain has the job to achieve exactly this.

Tasks
  • In order to do this the team has given the domain owner a few tasks that help them have a useful strategy
  • You can click "Check AI fitness" to get an idea which tasks could be taken over by AI, and prioritize theirs moving to an Ai agent by clicking on the flag icons – this is then manages in the "Hybrid Team Planner"

Objectives
  • What are KPIs or OKRs or similar, measurable goals?
  • Rate them with the 5 stars system and update the rating regularly (e.g. in 1-on-1s between role owner and team leader)

Workload
  • In the box "Plan total" you can define how much time your time should spend on this domain (for standard domains, which are part of a skill or role, this remains "0")
  • max = 1 = 1 FTE = "full time equivalent". Or you can switch from FTE to hrs/week or day in the settings.
  • In "status" you can see how much you already assigned

Notes

  • Use this space to jot down thoughts or ideas that arise while creating or refining an item

  • For example: “Maybe split this into 2 roles?” or “Ask owners to propose a clearer purpose.”

Owner
  • On the top right is the owner.
  • If you like you do not need to pick a person, but can also pick a role.
  • This team has chosen the role "CEO" as responsible for the domain "strategy"
  • In the dropdown next to "type" you pick the role "CEO"
  • the owner "Susan" is displayed automatically, because there is only 1 CEO, but if you pick a role with more than 1 owner, you will here see a dropdown with a list of all owners to chose from.
  • You can leave this field empty, and the domain will still be linked, but it at one point it makes more sense to define a person who is responsible - after all that is the whole meaning of a domain!

Stand in
  • Some domains are so important that you need to define a stand-in in case the owner is absent, sick or on vacation. Here you can pick any name.

Member in
  • Under "member in" you can see in what circles and projects this domain is a member in.
  • You can delete it here from these circles/projects by clicking on "x"
  • If you want to add this domain to a circle or project and have to close this domain tool and enter focus mode for the circle/project that you want to add the domain to.

Documents
  • here you can add documents that are important for doimain owners to know/ have access to
  • often the domain itself is a document (budget xls, strategy ppt, etc.) - link that here!

Tags
  • Tags are free text and can be used as filters by clicking on them.



You save all data by clicking on the green tick at the bottom right, You can also close the tool and save all changes by clicking anywhere outside the tool or by clicking on the previous/next arrows on the top right.


If you wish NOT to save your changed, you have to click on the red X on the bottom right. The tool will close and your changes will NOT be saved!
